Agreements

All research projects with which Kristiania University College is involved, particularly those for which Kristiania will contribute resources, must be supported by the Head of Faculty and the Pro-Rector of R&D/AD in advance and must be based on written agreements. Please use the University College’s templates, where such templates exist.

Checklist for those who intend for Kristiania University College to enter into a research agreement (regardless of whether we are the project owner or a partner):

Research agreements

The formal legal name of Kristiania University College is Ernst G. Mortensen Stiftelse. If the contract is in English, the following may be entered after the correct Norwegian legal name: (hereinafter referred to as Kristiania University College)
All agreements must be signed by the Pro-Rector of Research and Artistic Development Work, Professor Trine Johansen Meza.
Ensure that the parties have ‘joint ownership’ and are equal when it comes to research results, including the right to publish and use the results in any future articles or projects.

A definition and description of what each partner brings to the project must be included as a ‘background’ list.
Consideration should be given as to whether it is necessary to add certain clauses to describe how information will be managed throughout the project.
If the project includes collaboration with multiple partners or a consortium, it is important that you make sure that Kristiania University College has the opportunity to participate in all decision-making processes. This is where any definitions, content and adjustments will be clarified throughout.
The agreement must include a description of the parties’ areas of responsibilities and a budget, in which the allocation of funding across partners has been specified in accordance with the planned activities. It should be clarified already in the application phase how the budget will be adjusted for any allocations, in terms of both scope and distribution between the partners. The agreement should also include a procedure for the management of partners that do not complete activities and deliver results as planned.
The contract should specify how data will be collected, reported, stored and deleted. It must specify who is responsible for what, how, when and for how long. An explicit explanation of compliance with the GDPR should be included in the agreement text.

Kristiania University College uses a template that has been developed based on the RCN templates.

Kristiania employees may also use the Research Council of Norway’s templates in other contexts, for example simple collaboration agreements including IPR (Intellectual Property Rights) and for consortium agreements. Kristiania’s letter of intent
When a research project at Kristiania University College uses an external provider to process personal data on behalf of Kristiania, a data processing agreement must be entered into between Kristiania and the data processor. The data processor may only process personal data in accordance with the written agreement in the data processing agreement.

Approvals

Multiple approvals may be necessary depending on the type of research project you are managing. You should immediately contact Research Support if you are planning to collect biological material from humans.

Approvals

NSD is a national centre and archive for research data. The NSD notification form is a digital form that researchers or students complete when processing personal data as part of a research project. The notification form must be submitted no later than 30 days before data collection commences.

All research projects that are subject to the Norwegian Health Research Act (medical or health research on humans, biological material from humans or health information) must be pre-approved by REC and require you to obtain consent prior to project participants being included in a study.

The procedure for applying for approval has been described in detail in the chapter on data protection.
Researchers at Kristiania University College may process personal data if they have obtained valid consent from the person or persons concerned.
